Privacy policy
Last updated [DATE] · Applies to KHMeet, provided by KioskHut [LEGAL ENTITY NAME AND ADDRESS].
This policy explains what KHMeet collects when you use it, why, who it is shared with, how long it is kept, and the choices you have. Where your organisation set up KHMeet for you, your organisation decides many of these things (for example, whether meetings are recorded and how long recordings are kept).
What we collect
Account details: your name, email address, a password (stored only as a one-way hash) and, if you turn it on, your two-factor sign-in setup.
Meeting details: meetings you host or join, when you joined and left, and your settings such as your colour, camera-off look and devices. A guest who joins without an account gives only a name.
Location and time zone: an approximate location worked out from your internet address, and, only if you allow it, your browser location. Your organiser, organisation owner and admins can see these for a meeting; you and your organisation can turn this off.
Recordings and transcripts: when a meeting is recorded, the video, the audio and a written transcript of who said what. Everyone in the meeting is told when recording starts.
Chat messages sent in a meeting, including private messages, which are shown only to the sender and the person they were sent to.
Messages you send us through the contact form.
Technical data: device and browser type and connection quality, used to keep calls working and to fix problems.
How we use it
To run meetings, sign you in, keep your account secure, send the emails you need (verification, invitations, password resets), produce recordings and transcripts when a meeting is recorded, answer your messages, and improve call quality.
We do not sell personal data, and we do not use your meetings, recordings or transcripts to advertise to you.
Where data is stored
Our main database and services run in the United States. [KioskHut to confirm regions and any international transfer safeguards.]
How long we keep it
Account data is kept while your account exists. Recordings and transcripts are kept for as long as your organisation's settings say, then deleted automatically; an organiser can delete one sooner.
[KioskHut to state retention for meeting history, chat, contact messages and logs.]
Security
Audio, video and screen share are encrypted in transit. Sign-in supports two-factor authentication. Access to recordings is limited to the people the organiser chooses, and share links can carry a passcode.
Cookies and local storage
We use cookies only to keep you signed in and, if you choose, to remember a trusted device for the number of days shown beside the “Remember this device” box when you sign in. Your browser also stores preferences such as your theme and last microphone and camera. We do not use advertising cookies.
Your choices and rights
You can update your details, turn location sharing off, delete recordings you own, and delete your account from your settings.
Depending on where you live, you may have the right to access, correct, delete or export your data, or to object to some uses. Contact us at [PRIVACY EMAIL]. If your organisation manages your account, we may pass your request to them.
Children
KHMeet is for businesses and is not meant for children under [AGE].
Changes and contact
We will post any change here and tell account owners about important ones. Questions: [PRIVACY EMAIL], KioskHut [ADDRESS].
